Employees refers to: PT. Colliers International Indonesia’s employees

Server refers to: Company’s server that use this application Server hosted at www.colliers.id managed by PT Colliers International Indonesia

Country refers to: Indonesia

Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.

Personal Data is any information that relates to an identified or identifiable individual.

Service refers to the Application.

Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.

Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

Usage Data

Usage Data is collected automatically when using the Service.

Information Collected while Using the Application

While using Our Application, in order to provide features of Our Application, we may collect, with Your prior permission:

In the attendance module, the application will get your current location, of course with the permission that you have given. This module is used for online attendance by employees in the company and not for advertising or other purposes, it’s only for attendance and there is no background process to get current location in real time or continuously.

Stored contact data on server is only that which was scanned by employees in the Card Scanner module. As for all other contacts on the user's cell phone, Company does not store and/or share the information with third parties. This module (Card Scanner) is created to make easy our employees to input their contact - without having input manually through the “Add Contact” form.

  1. In the attendance module, as well as getting your location, you are also asked to take a selfie, this is part of online attendance.
  2. Employees can scan business cards using the camera device or select an image from the phone gallery in the CardScanner module.
  3. When the employees submit for medical reimbursement, they must capture the receipt, which will be stored on the company’s server.

We use this information to provide features of Our Service, to improve and customize Our Service. Also, the information will be uploaded to the server.

You can enable or disable access to this information at any time, through Your Device settings.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

Attendance, to analyze employees’ attendance such as lateness, work hours report, location for those employees located in the site or their home.

Scanned Contact, Data will be stored in employee’s phone and company’s server.  Other process after data stored (if any) will be done manually by the employee.

To provide and maintain our Service, including to monitor the usage of our Service.

To manage Your Account: to manage Your registration as a user of the Service. The Personal Data You provide can give You access to different functionalities of the Service that are available to You as a registered user.

To contact You: To contact You by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application's push notifications regarding updates or informative communications related to the functionalities, products or contracted services, including the security updates, when necessary or reasonable for their implementation.

To provide You with news, special offers and general information about other goods, services and events which we offer that are similar to those that you have already purchased or enquired about unless You have opted not to receive such information.

To manage Your requests: To attend and manage Your requests to Us.

For other purposes: We may use Your information for other purposes, such as data analysis.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Sensitive information provided by you is encrypted using secure socket layer technology (SSL) during transmission and server-side encryption using TLS_AES_128_GZCM_SHA256, 128 bit keys, TLS 1.3 or other methods as determined by the company from time to time to encrypt your data. However, no method of transmission over the Internet, or method of electronic storage, is completely secure. Therefore, while we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security. You undertake to treat your username, password and other details as confidential and not to make it available to unauthorised third parties. We cannot assume any liability for any misuse of your username, password or other details.

It is important that you protect against unauthorised access to your Account and information by choosing your password carefully and keeping your password and Account secure.

 

We will retain your information for as long as your Account is active or as needed in order to provide our Services to you. If you no longer consent to us using your information to provide our Services to you, you may terminate your Account. Upon termination of your Account, we will retain and use your information as necessary to comply with our legal obligations, resolve disputes and enforce our Terms of Service, until you request in writing that we erase or delete such information and/or Personal Data from our database.

 

Restricted application

The application is only for this company, not for the company’s partners or contractors. So, other companies can’t use this app because they need credentials to login and the credentials provided by the IT Team of this company.

How do employee obtain an account?

The application integrated with company’s intranet system, account created through the recruitment and hiring modules in our Intranet.

This app is free, there is no paid content in the app. So, employees can use all the features in this application with normal functions.

    1. Attendance
    2. This module is used by employees at the company for online attendance. There are two features, like getting the employee location based on the device location and selfie with face recognition. The company or the application only used this location to get the employee's location, and the company or application has no other purpose to get the employee's location. There is no background process to get the current location in real-time or continuously.

    3. Medical
    4. Employees can submit for medical reimbursement, check their medical status, and check their medical balance.

    2. Employees can make a reservation for a meeting room.

    1. CardScanner
    2. To help employees scan business cards, so they can scan and store them on a contact device or server. This feature uses optical character recognition (OCR), converting an image of text into a machine-readable text format. You can use your camera to scan the business cards or select an image from your phone gallery. And also, it can scan QR Code with VCARD type.

    3. QRScanner
    4. Besides making a reservation for a meeting room through Meetings in the General Admin module, employees can also make a reservation from this module, scan the QR Code in the meeting room, and it will be directed to the Meetings page.

Children's Privacy

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 13 without verification of parental consent, We take steps to remove that information from Our servers.

If We need to rely on consent as a legal basis for processing Your information and Your country requires consent from a parent, We may require Your parent's consent before We collect and use that information.
